Email Statistics
Overview
The Email Statistics page provides an aggregated view of delivery performance and engagement for emails sent by the Student Caring system.
Student Caring is a Cyber Guru platform tool that automatically sends emails to users to encourage them to return to the platform and complete their assigned training activities. Typical examples include notifications for newly released Awareness or Channel content, reminders for inactive users, and alerts for users who are not aligned with their training path.
Administrators can verify whether these emails reach users and whether they generate interaction. The page also highlights delivery or spam-related issues.
Note: The page only shows statistics related to Student Caring emails and system emails (e.g., password reset). Simulated phishing emails (Cyber Guru Phishing) are not included.
Data availability: Statistics are available starting from December 2025.
How to access
The page can be accessed from the side navigation menu under Email Statistics.
Access requirements
| Requirement | Details |
|---|---|
| Enabled roles | Admin, CSM, MSP, Company Admin, Supervisor |
| Technical prerequisite | The company must use the platform SMTP (managed by Cyber Guru) |
Why can’t I see “Email Statistics” in the menu?
The item is not visible if:
The company uses a custom SMTP instead of the platform SMTP. Delivery, open, and click metrics are tracked by the platform email provider, and are not available with a custom SMTP.
Your role does not have the required permissions.
Company selector
The selector allows filtering statistics by company. Visibility and available options depend on the user role:
| Role | Selector visible | Available options |
|---|---|---|
| Admin, CSM | Yes | “All Companies” (aggregated data) + all individual companies |
| MSP | Yes | Only companies assigned to the profile |
| Company Admin, Supervisor | No | Only their own company data |
KPI indicators
At the top of the page there are four cards with key performance indicators. All values are expressed as percentages (%).
Delivery Rate
Color: Green
Definition: Percentage of sent emails that reached the recipient’s inbox.
Interpretation: A low value indicates domain issues: missing DNS records (SPF/DKIM/DMARC) or invalid email addresses in the user database.
Open Rate
Color: Amber
Definition: Percentage of delivered emails that were opened by the recipient.
Interpretation: Reflects the effectiveness of the subject line and perceived relevance.
Click Rate
Color: Teal
Definition: Percentage of delivered emails where the recipient clicked at least one link.
Interpretation: Measures actual engagement: how many users click and return to the platform.
Spam Rate
Color: Red
Definition: Percentage of delivered emails marked as spam by recipients.
Interpretation: A high rate damages domain reputation and worsens deliverability over time. Review sending frequency and content relevance.
Email Funnel
The Email Funnel shows the four stages of an email, from sending to user click.
Funnel stages
| Stage | Color | Meaning |
|---|---|---|
| Processed | Indigo/Blue | Emails processed by the system and handed over to the email provider (total outgoing volume) |
| Delivered | Green | Emails successfully delivered to inbox (difference vs “Processed” = bounces) |
| Opened | Amber | Emails opened by recipients (tracked via pixel) |
| Clicked | Cyan | Emails where at least one link was clicked (final conversion: user returns to platform) |
How to read the chart
Each bar shows the absolute value (number of emails) in the center.
The width of the bar is proportional to volume; drop-offs between stages are immediately visible.
Below the chart, conversion rates between adjacent stages are shown:
Processed → Delivered: delivery effectiveness
Delivered → Opened: message effectiveness
Opened → Clicked: call-to-action effectiveness
Hovering over a bar displays a tooltip with exact values and percentages relative to total processed emails.
Typical scenarios and suggested actions
| Scenario | Possible cause | Suggested action |
|---|---|---|
| Low delivery rate | Domain not authenticated (missing SPF/DKIM/DMARC), many invalid email addresses | Verify DNS records and check email data quality |
| Good delivery but low open rate | Weak subject line, emails categorized as “Promotions” | Review subject lines in Student Caring configuration |
| Good open but low click rate | Unengaging content, unclear call-to-action | Optimize email templates |
| High spam rate | Emails perceived as unwanted, excessive frequency | Reduce sending frequency and improve targeting/content relevance |
