Once licenses are created (see the dedicated article), they can be assigned to users through various distribution methods.
License Assignment Methods
Licenses can be assigned in four main ways:
-
Individual Assignment
-
Bulk Assignment
-
Automatic Assignment to All New Users
-
Automatic Assignment Based on an Organization
Manual Assignment or Removal for Specific Users
To assign a specific service license to certain users:
-
Go to the created license
-
Click on the three vertical dots and select "Distribute Licenses".
Within the screen, there are two sections available:
-
Licensed Users: shows users who already have a license.
-
Unlicensed Users: shows users who do not yet have a license assigned.
Individual Assignment
To assign the license to only certain users:
-
Go to the "Unlicensed" section
-
Search for the user using the search bar, if necessary
-
Select the desired users
-
Click on "+ Add"
Individual Removal
To remove a license from specific users:
-
Go to the "Licensed" section
-
Select the users from whom you want to remove the license
-
Click on "Remove"
Manual Assignment to All Users
Licenses can be managed in bulk:
-
Assignment: from the "Unlicensed" section, click on "+ Add All" to assign the license to all users loaded on the platform.
-
Removal: from the "Licensed" section, click to remove the license from all selected users.
Note: Before proceeding, check if the Student Caring event “First Awareness or Channel License Association” is active.
If so, each user will receive a welcome email to access the platform.
With automatic assignment enabled, every new user added to the platform will automatically receive a license for the selected service.
Additionally:
-
If a user is suspended and then reactivated, they will automatically receive the license again.
-
If the Student Caring event is active, the user will also receive the automatic welcome email.
This feature allows for efficient and continuous license management.
If automatic assignment is enabled without specifying any Organization, the license will be assigned automatically to all users added to the platform, regardless of their organizational affiliation.
🔄 Important: Automatic Assignment is Not Retroactive
When a Company is already operational and automatic license assignment is later configured based on the Organization, it's important to know that:
❗ The rule DOES NOT apply retroactively to users already on the platform.
This means that:
-
Only new users added to the platform will automatically receive the license.
-
Users already existing at the time of configuration will not be included in the automatic distribution and will need to receive the license through manual or bulk assignment.
Automatic Assignment Based on Organization
Automatic assignment can also be configured based on the users' Organization affiliation. This mechanism allows for dynamic and targeted license assignment to specific subgroups of users, based on organizational affiliation.
Important Note on Phishing Licenses
Phishing service licenses are intended exclusively for users with the "Student" role.
-
If a user does not have the "Student" role, they will not be visible in the list of users eligible for a phishing license and will not participate in simulations, as they are not eligible as a target.
-
Even if such a user already has a phishing license assigned, they will not participate in simulations, as they are not eligible as a target.
