License Assignment Based on Organization: Practical Scenarios

You can automate license assignment for different services (e.g., Awareness, Channel, Phishing) based on the value of an Organization associated with users. This approach allows for flexible, efficient, and scalable management, minimizing manual intervention and ensuring timely and correct license distribution.

Scenario 1: Users with a license for Service A or Service B

Some users need to receive only the license for Service A (e.g., Awareness), while others only for Service B (e.g., Channel).

🔄 Operational Steps:

  1. Upload an initial CSV with a few users (e.g., 2) assigning the Organization value:

    • Example: License = AW for those receiving Awareness, License = CH for those receiving Channel.

    • These users will receive the license manually, as automatic assignment is not yet active.

  2. Activate automatic assignment for each service:

    • For Awareness: Organization = License, Value = AW

    • For Channel: Organization = License, Value = CH

  3. Upload all other users using the same criteria.

    • Users will automatically receive the corresponding license based on their Organization value.

Scenario 2: Users with license A, license B, or both (A + B)

In this scenario, some users need to receive only one license (Awareness or Channel), while others need to receive both licenses simultaneously.

Operational Steps

  1. CSV Preparation

    • Create a CSV file with two separate Organization columns, one for each service:

      • Example: AW License, CH License

    • The number of Organizations depends on the number of services to assign (if you add the Phishing service, you would need three columns/organizations).

  2. Organization Valuation

    • For each user, assign the value "Yes" in the columns corresponding to the services to be assigned:

      • User with only Awareness license: AW License = Yes, CH License = NO

      • User with only Channel license: AW License = NO, CH License = Yes

      • User with both: AW License = Yes, CH License = Yes

    ✳️ Example:

     
    Name: Giulia Rossi AW License: Yes CH License: Yes

  3. Initial User Upload

    • Upload a first small group of users (e.g., two: one with Awareness, one with Channel).

    • This step is necessary to generate the Organizations within the platform.

  4. Activate Automatic Assignment

    • Set up automatic assignment for each service, indicating:

      • Organization: AW License → Value: Yes

      • Organization: CH License → Value: Yes

  5. Upload Remaining Users

    • Upload all other users via CSV.

    • Users will automatically receive licenses based on the values in the Organization columns.

    • If a user needs to receive both licenses, you need to set “Yes” in both Organization columns corresponding to the relevant services (e.g., AW License and CH License).

    • For the first users uploaded via CSV, license assignment must be done manually. Automatic license assignment is NOT retroactive.

🔹 Scenario 3: Company Already Operational (Live)

If the platform is already in use, and you activate assignment for Organization later:

⚠️ Automatic assignment is NOT retroactive.

  • Only users uploaded after activation will automatically receive the license.

  • Users already present on the platform will need to be managed through manual or bulk assignment.
