When new users are added to a company that has already completed a full training year, a "preparatory" course can be set up to help them gain basic knowledge before joining the current year's program.
Course association is available only for MSP roles or higher.
Objective of the "preparatory" course
The preparatory course includes 4 modules from the first year:
-
Phishing
-
Password
-
Social Engineering
-
Malware
This course does not award points to students, but aims to:
-
Provide an essential educational foundation
-
Allow for a realignment with other users in the company
-
Enable access to the next ongoing year in the company
The modules of the course are released simultaneously, but access to them follows a sequential order: each module unlocks only after the previous one is completed, ensuring an orderly and gradual learning process.
In this scenario, two lists of users are managed:
-
A list of users who will directly follow the standard course
-
A second list of users who must first follow the preparatory course and then the standard one.
To distinguish between the two groups, an "Organization" attribute called "preparatory" can be used, with values "YES" or "NO" depending on the type of user.
1. Upload the First List (Users with only the standard course)
-
Import users into the platform who need direct access to the standard course
-
Assign Awareness licenses to these users to allow course association
2. Associate the standard course
-
Associate the standard course with the following characteristics:
-
Release all activities: No, to prevent all course modules from being immediately accessible to users.
-
Prerequisite: Yes, to ensure module sequencing.
-
Is there a preliminary course?: No, as we are setting up the standard course and have not yet created any preliminary course.
-
Sync with existing users: Yes, so that the standard course is associated with users already in the system.
-
You can now verify that the standard course has been correctly assigned to a user by randomly clicking on them and selecting the "view and assign levels" option.
-
3. Remove the standard course
At this point, you can remove the standard course from the courses assigned to the company. It's important to note that this action does not affect the existing course association with users already on the platform. However, it prevents new users added with the second list from automatically having direct access to the standard course.
4. Associate the preparatory (introductory) course
Now we can associate the Preparatory course with the following characteristics:
-
Release all activities: Yes, so that all content is immediately available.
-
Prerequisite: YES, to ensure module sequencing.
-
Is there a preliminary course? NO.
-
DO NOT SYNC WITH EXISTING USERS: This way, it won't be assigned to existing users on the platform (who should only have the standard course).
You can perform another verification by selecting a user and clicking on the "View and assign levels" option: you will see that the preliminary course has NOT been associated with users already on the platform.
Reassociate the standard course with the preparatory course as a prerequisite
You can now proceed to REASSOCIATE the STANDARD course, which should have the following configurations
-
-
Prerequisite Release: Yes, to ensure the modules are sequential.
-
Is there a preliminary path? Yes, at this point you can indicate the "prerequisite path" that has already been associated previously.
-
DO NOT sync it to existing users: existing users already have the standard path associated (and should not also have the preliminary one).
-
Uploading the second user list (preparatory + standard)
-
You can proceed with the upload of the SECOND LIST of users (who will need access to the preparatory + standard). When you assign them the license, the standard path with the connected preparatory will be automatically associated with them.
-
To verify, just click on a user and check that they have both the preparatory and the standard path associated.
Note. All new users will follow these configurations: they will follow the preparatory before they can access the standard path.
SCENARIO TWO: Users already on the platform
In this scenario, the users have already been uploaded to the platform, for example, following a migration.
To correctly manage the assignment of training paths, users need to have an additional field, an "Organization" attribute called "Path", which allows distinguishing:
-
Users who should be assigned the preparatory path
-
Users who need to access directly the standard path
1. License Assignment
Before assigning the paths, it is necessary to assign the Awareness licenses to the users, to enable the possibility of assigning them the training paths.
2. Standard Path Assignment
We now configure the assignment of the STANDARD path to the company with the following settings:
-
Prerequisite: Yes – to ensure the modules are sequential
-
Sync with existing users: Yes – but limited to users whose attribute value "Org Path" is “Standard”
Recommended Checks:
-
Users with "Org Path" = "Standard" should have the standard path correctly assigned
-
Users with "Org Path" = "Preparatory" should not have any path associated at this stage.
3. Removal of Standard Path Assignment
Once the assignment is verified, you can remove the standard path from the paths assigned to the company.
⚠️ This operation does not remove the path from users who have already received it, but prevents it from being automatically assigned to other users in the future.
4. Preparatory Path Assignment
We now proceed with the assignment of the PREPARATORY path, with the following characteristics:
-
Release all activities: Yes – all content must be immediately available
-
Prerequisite: Yes – to maintain the sequence between modules
-
Sync with existing users: Yes – but exclusively for users with "Org Path" = "Preparatory"
This configuration ensures that only users intended for the preparatory path receive the assignment, and that access to the modules occurs sequentially.
5. Verification of Path Assignments
To confirm the correct functioning of the assignments, you can perform a check by selecting a user and clicking on “View and assign levels” (via the three-dot menu).
Expected Outcomes:
-
Users with "Org Path" = "Standard" → should have only the standard path
-
Users with "Org Path" = "Preparatory" → should have only the preparatory path
6. Reassociation of the Standard Path
After completing the assignment of the preparatory path, you can now proceed with the reassociation of the STANDARD path to the company, configuring it to complete the training flow for users starting from the preliminary.
Recommended Configuration:
-
Prerequisite: Yes – to ensure the sequence of modules
-
Is there a preliminary path?: Yes – select the preparatory path previously associated
-
Sync with existing users: Yes, but only for users who already have the preparatory path associated
This setting allows the standard path to be associated exclusively with users who have already completed or are following the preparatory path, ensuring they don't end up with an incomplete path.
Behavior for New Users
All new users who will be added with the value "Org Path" = "Preparatory", and who will be assigned licenses:
-
Will automatically receive the preparatory path.
-
Once completed, they will also have access to the standard path.
